VVX 400 User Guide
This guide provides a basic overview on how to use your Polycom VVX 400 Series Phone.

How to answer a call
In order to answer a call on your ringing VVX 400 series phone you will need to hit the 'Answer' button when the call is ringing as shown here:
Or pickup the handset of the phone.
How to make a call
To make a call you can select a line on the left side of the phone and start dialing, just start dialing the number, or select 'New Call' and dial the number. Once you have entered the number you'd like to dial, select the 'send' button and the call will start.

How to blind transfer a call
In order to blind transfer a call, there will need to be an established call on the phone. You will need to select the 'transfer' button near the bottom of the phone's LCD, then the 'blind' soft-key, followed by the destination number or extension. After entering the number, hit the send button to complete the transfer.

How to conference someone on a call
To conference an additional party onto an existing call you will need to press the 'more' soft-key followed by the 'conference' key. Then, using the dialplad, enter the number or extension of the party you would like to dial, followed by the 'send' key. Once the other party has answered the call press the 'more' key then the 'conference' soft-key. At this point all 3 parties should be in a conference.

How to check your voicemail
To check your voicemail you will need to press the 'Messages' button on the left side of the phone or press the touch screen messages button as shown here:
When you do you will hear a prompt from the PBX advising how many messages you have waiting and available options within the Voicemail menu.

How to setup voicemail
In order to record your voicemail greeting(s) you will need to get access to your voicemail box. For information on accessing your voicemail box please see the section titled ' How to Check your Voicemail' above.
Once you have accessed the voicemail system you will need to select option '0' to enter the 'Mailbox Options' menu.
After entering the 'Mailbox Options' Menu you will be prompted to:
- Press 1 to record your unavailable greeting
- Press 2 to record your busy greeting
- Press 3 to record your name
- Press 4 to manage your temporary greeting
- Press 5 to change your password
If you select option 1 to record your unavailable greeting you will be prompted to record the greeting after a beep, followed by pressing the pound key to signal the end of the recording.
After pressing # you will be prompted to:
- Press 1 to accept the greeting
- Press 2 to listen to the greeting
- Press 3 to re-record the greeting
If you select 1 at this point, your unavailable greeting will now be active on your voicemail box.
The process for recording your busy greeting and name is identical except for the initial key press (1, 2, 3) when choosing which greeting to record.
Note: The most commonly utilized greeting is the unavailable greeting, followed by the busy greeting (when on the phone). The recording with your name is used by the company directory to enunciate your name when a match is located.
How to join a conference
To join a conference you can simply select a link key on the left hand side of the phone, dial the conference room number and hit 'send'. Alternatively you can dial the conference room number directly and hit 'send'. Once you have dialed the conference room number you will be prompted for a pin. Enter the pin followed by the # button.
You can access the conference bridge by dialing *10 from the phone. When you connect to the conference bridge you will be prompted for the conference room number followed by the pin. Be sure to hit the # button after entering both the conference room number and the pin.
